League Managers (LMs) are critical to our ability to delivery high-quality, safe and enjoyable soccer programs. Here and on the links on the left side is some help for LMs explaining how to perform their duties more effectively:

Create Teams   Back to top

WWPSA has a secure website for Team Management that LMs can use to perform many of the tasks necessary to get our programs up and running each year: https://ssl.demosphere.com/WWPSA/AGC.

The first and most important task is to determine how many teams the league will need. Login to the Team Management site, above, using the login credentials provided to you when you signed up to be a LM. The number of players are in your league will be displayed on the landing page after you login to help you determine the appropriate number of teams in your league. If you don’t have your login please email rec@wwpsa.org.

Click "2) Create / Add Teams" to manage the teams assigned to your League (known as "Divisions" within the Team Management site.) Follow the instructions to create as many teams you need. Note: make sure that you always use the prefix for your league when creating Team Abbreviations, e.g., B1-XXX, GK-XXX, etc., where "XXX" represents the first few letters of the team name. This helps distinguish teams becasue teams in different leagues might have the same names.

Assign Coaches to Teams   Back to top

After creating your League’s teams, you need to assign coaches to them. From the Team Management landing page, click "3) Coach Assignments Screen". You will see a list of Head and Assistant Coaches assigned to your league. Since most coaches sign up to coach their children, the "Pref" column will generally indicate "Yes" to pair the two together. However, in rare instances some coaches may not have children in the program but may want to help volunteer their time, so that would result in a "No" in that particular column. In most cases, "No" indicates that the parent neglected to indicate the particular child they wished to coach during registration, so please do NOT assign these coaches to a team in your league unless you have contacted them and they have confirmed they are coaching in your league. These coaches with a "No" preference will appear as available to assign to a team in EVERY league, so you need to first contact these parents to determine their intentions.

Choose the appropriate team to assign to a coach from the drop-down list, check the "Assign" box and then click Update at the bottom of the screen when finished.

We use software called AGC to manage Player / Team assignments. Click "4) Download the AGC Program" and follow the instructions to use it. The only tasks you should complete using AGC is the assignment of players to teams. Please remember to refresh any team assignments back up to the Online Registration System before you close AGC so that they are saved.

Note: Players that have registered but not yet paid and waitlisted players are not shown in the AGC software because they are not considered registered until payment is made or they are made active by removing them from the wait list. They how will appear in reports run from the https://ssl.demosphere.com/WWPSA/AGC. website depending on what setting you use to run the report.

To clear players from the wait list and make them available ​​for team assignment do the following:

  1. Go to https://ssl.demosphere.com/WWPSA/AGC.
  2. Login
  3. Click on Reports: Additional exporting and reporting features.
  4. Click on Manage Wait List on the right side of screen
  5. Check the box in the Remove column (far right) on the same row as any player you want to make active (i.e. remove from the wait list) so you can assigned them to a team.
  6. Click Save.

The player will now be active and after you refresh the data in the AGC program the player will appear and you can assign them to a team. 

Broadcast E-mails to each League   Back to top

Click "5) Reports" to create reports of Coaching assignments, the players in your league or to broadcast e-mails to your players.

Notes:

You should limit your criteria to use only the current year’s players by clearing the "All Seasons" check box and selecting the current year’s check box. If you don't do this it goes to anyone whoever played in any prior season in your league. All other options are at your discretion based on the content of your message.

Please be sure to input the appropriate information to make sure that your message recipients know the message came from you. These include:

  • Change the "From e-mail" and "Reply to" fields to your email address. You can use your wwpsa.org email address
  • Enter your LM title or name in the "From name" field.
  • Use a descriptive subject that begins with "WWPSA [League Name]"
  • Choose a date and time that is at least 1/2 hour ahead of the current time
  • Input your personal e-mail address in the "Preview to" field so a preview copy of the message will be sent to that address for your review. If you don’t like the message for any reason, return to the Broadcast E-mail screen and click Cancel to stop the message and recreate it the way you want.

Communicating with Coaches   Back to top

Each LM is assigned an e-mail address that will automatically forward e-mails to your personal e-mail address when you agreed to serve as LM. Please be sure to use this e-mail address in your communications to ensure consistency and to protect your personal e-mail address from spam spiders as much as possible. The format is the league abbreviation followed by the WWPSA domain, e.g., b1@wwpsa.org, gint@wwpsa.org, bsnr@wwpsa.org, prek@wwpsa.org, etc. If you can configure your e-mail software to also show this address as the address from which you are sending messages, please do so when sending WWPSA e-mails to your coaches or parents of players.
